Zaha Hadid Architects is seeking a junior personal assistant to join its team in London.

 

Overview

At Zaha Hadid Architects, we are seeking a junior personal assistant to join our London team on a permanent contract. The purpose of the role is to provide administrative support to the executive assistant.

Main responsibilities:

  • diary management and schedule meetings
  • coordinate meeting room booking, liaise with the reception/facilities/housekeeping team
  • print and scan documents for meetings etc.
  • collect and scan incoming post, notify EA, arrange outgoing post and couriers
  • prepare daily emails/post summary
  • contacts and data entry
  • organise all travel arrangements, flights, hotels, taxis, itineraries, and related expense reporting
  • answer and screen internal and external phone calls and take messages
  • arrange/collate all relevant documents through understanding the nature of the ongoing work/projects
  • maintain PA folder, save relevant documents and attachments
  • proactively save important dates, contacts, events, etc. from team emails
  • summarise team whereabouts (i.e. annual leave, business travel) for the EA
  • adhoc administrative assistance to company support team/travel team
  • attend weekly catchups with the EA and quarterly support meetings
  • provide holiday/sick leave cover of certain EA duties

Desired skills and qualifications

Technical skills:

  • basic proficiency in Microsoft Office Suite (especially Outlook, Word, and Excel)
  • basic proficiency in virtual meeting platforms (especially Microsoft Teams)
  • email, diary and document management
  • excellent written and computer literacy skills

Qualifications/experience:

  • a high school diploma or equivalent, bachelor’s degree preferred
  • prior experience in an administrative support role
