This is a full-time role with an option to work remotely Monday to Tuesday and in the London Bridge office Wednesday to Friday. The role reports to the head of planning production. Candidates are required to start as soon as possible.

The role

We are looking for a photography and tech resource manager to join our planning team. The role encompasses coordinating between external and internal teams, resourcing work and arranging access and permits. You will be working with photographers, survey teams and scheduling the follow-up work against it, as well as resourcing tasks in the planning tech team. The successful applicant will be organised and efficient, have excellent communication skills and with experience working under tight deadlines as part of a wider planning department and report to the head of planning production.

Roles and responsibilities include but are not limited to

Photography and survey coordination:

  • review and manage photography and survey project briefs to prioritise requests and ensure requirements are clear (equipment, location of site, deadline etc)
  • coordinate booking of photographers and surveyors, confirming availability and aligning schedules
  • ensuring survey documents are booked and delivered on time ahead of commencing the work
  • update the resourcing sheet with confirmed and provisional bookings
  • facilitate the briefing process between photographers and project/account managers to ensure understanding of deliverables
  • troubleshoot issues to keep projects on track
  • track photography and survey project status from kick-off to completion in the relevant log
  • maintain good relationships with the external survey teams
  • notify teams when survey data deliverables are received
  • review photographers timesheets to ensure they reflect their resource and planned time allocation
  • arrange permits, travel and equipment as needed for shoots; key site contacts, fees, fares and accommodation booking
  • upload reference material for the shoots on Google Drive, manage timelines
  • organise internal production shoots end-to-end
  • respond to photography search requests and become familiar with assets
  • quote and invoice requests for footage, stock images, aerial shoots
  • monitor photography and survey capacity and liaise with additional outsourcing/freelancers when there is increased load
  • follow all policies, procedures and documentation requirements
  • file information and maintain organised systems
  • identify opportunities to streamline coordination efforts

Technical team resource coordination:

  • become an expert in predicting time-spend for all technical tasks
  • manage confirmed resource allocation schedule and capacity
  • facilitate resourcing issues and conflict resolution during resource meetings and throughout the week
  • monitor time spent on projects day to day, ensuring that each stage of the project is progressing within budget
  • approve tech team timesheets weekly, making sure they are accurate and commercially sound
  • approve holidays and plan for holiday cover, making sure there are no team clashes, and update the holiday calendar

Required skills and experience:

  • two-plus years as a junior project manager or resource manager in the creative/real-estate/property/construction/architecture sector
  • good communication skills – written and verbal, including with external teams
  • excellent ability to manage workloads, prioritise and organised
  • working as part of a team

Desirable skills and experience:

  • Google Workspace (email, chat, sheets, docs, calendar, MyMaps)
  • experience operating a resourcing platform
  • experience with, or willingness to learn, GIS mapping software
