We are currently seeking a motivated Operations Support and Construction Administration Project Coordinator with excellent organization skills to join our team in San Diego.

The person in this full-time position will support the efforts of the firm’s personnel and Director of Operations with activities such as:

  • Assist Operations Team in day-to-day operational functions which include research, working with spreadsheets and reporting, regularly maintaining, and filing paperwork and reports, staff IT troubleshooting and strategic planning.
  • Assist with recruiting new talent for the firm by posting job openings, applicant resume reviews, and coordination with Operations Team on interview scheduling.
  • Advocating staff learning and growth through training and unique events. Coordination in the organization of internal and external programs for staff development.
  • Assisting Construction Administration teams with filing, logging, sending, and following up on construction project information including Requests for Information (RFIs), Submittals, Proposal Requests, Supplemental Instructions, and Reports etc.

Role and Responsibilities Include the Following:

Operations Support:

  • Operations team task tracking and management of action items on critical tasks and deliverables including new employee on-boarding coordination
  • Assisting in Scheduling critical meetings both internally and externally
  • Provide staff support for learning and growth through events, collaboration settings, training, and implementing prepared updates to internal Intranet
  • Coordination and scheduling of outside Product Vendor updates and scheduled presentations.
  • Collating pricing for special projects and reoccurring operations costs, and working with Accounting to track Operational budgets
  • Researching, collating pricing, and ordering new equipment and tracking existing office computer equipment, conferencing equipment, software, and systems
  • Coordination of software licensing renewals, staff account set ups, and support requests, firm-wide.
  • Coordinate with IT Consultant in their efforts to install and maintain computer systems, equipment, internet, networks, and provide technical support to staff.  Review of IT consultant invoices.

Construction Administration (CA) Project Coordination:

  • Daily updates to CA logs in various formats
  • Task tracking and collaboration with CA teams to ensure timely responses are issued
  • Assist CA teams with final formatting and issuance of reports
  • Coordinate material submittal reviews, stamping, and tracking
  • Collaborate with San Francisco Office CA Project Coordinator to ensure proper project coverage

Qualifications should include the following:

  • Highly organized with attention to detail
  • Collaborative and teamwork ethic
  • Professional communication skills (written and spoken)
  • Ability to work well and prioritize in a deadline intensive environment
  • Flexibility and willingness to assist others while maintaining a positive attitude
  • Ability to take direction and learn quickly
  • Capabilities in scheduling and the coordination of teams and staff
  • Review of invoices and payment coordination with accounting
  • Microsoft 365 experience: Outlook, Excel, and Word etc.
  • Architectural background or AEC industry knowledge is a plus
  • Experience with Autodesk Construction Cloud, Unifier, ProCore, etc. is a plus
