Sanders Pace Architecture is looking for a skilled operations coordinator to assist with daily operational tasks associated with architectural processes and pursuits.

What You’ll Do:

SP A Project Based Tasks:

Meeting Minutes for Principals (role is listening to a lot of meetings)

Tasked with follow up meeting scheduling, task master, next step tracking, etc.

Project Contracts – Issuance of Owner/Architect Agreements prior to services beginning

Consultant Communication – Consultant Proposal Requests for Services and Issuance of Consultant Contracts

Consultant Invoice intake into PM software, includes verification of billed vs process amounts and phase verification, etc.

AIA Contract preparation (Data input)
Responsible for all projects in office.

Various Project Coordination Tasks in assistance to Architectural Project Managers.

Permitting Coordination

Public Event Assistance to staff

Proofing of documents by others.

AIA 2030 Committee Co-Leader within the Office (Architectural Staff leader to be added).  This includes being aTask master and Next step coordinator.

Coordination of Project Presentations.

SP A Marketing Tasks: 

RFP/RFQ responses

Includes the management and new format curation of the base inDesign documents

Assistance with staff Bios, ownership and updates to all project data sheets, etc.

Coordination and attendance at Career Days (here and elsewhere) and coordination of potential staff interviews

Preparation of Fee Proposals to clients (w/JLS + BFP input on Fees)

Attendance at Business / Social Events representing SPa.

Design Awards coordination (local, state and national awards programs).  This includes tracking dates, upcoming photo shoots, etc.

Professional photography coordination (w/Project Managers)

Website Updates (w/Principals)

Social Media preload (w/Principals)

New Client vetting and meeting coordination.

Lecture pursuit opportunities and coordination of materials requested.

Coordination of new client interviews.

Seek project publication opportunities. Press outreach and respond to press inquiries.

SP A Organizational Tasks:

Onboarding for new hires.

Studio Crit communication with SP A.

Various shared HR tasks with OM Position.

Required Software Skills: Microsoft Office Suite (Word, Outlook, Excel, PowerPoint), Adobe Creative Suite (inDesign, Illustrator, Photoshop, and Acrobat), Social Media Platforms (IG, LinkedIn), WordPress (for website updates)

Benefits Package: SP A offers a group health care plan that corresponds to start date, employer matching 401k after 1 year vesting period, profit sharing plan after 5 year vesting period, 80 hours of vacation time, 40 hours of personal time, and approximately 8 office holidays.

Salary Range:  The proposed starting salary for the Operations Coordinator position at SP A will range between $50,000 to $65,000.00 based on qualifications and past experience. The proposed start date upon issuance and acceptance of individual job offer is scheduled for this April.
