The position of Office Manager & Studio Coordinator will include the responsibilities listed below. This synopsis represents a starting point with an understanding that everyone should have the opportunity for professional growth, and that all employees and all positions will evolve to ensure the best fit between an employee’s skills and our studio’s needs.

1. Office Management: Assist studio staff in routing all incoming correspondence including email, drawings and phone calls.

  1. Log and distribute drawings from clients as part of coop/condo alteration reviews

2. Project Assistance: Help to ensure smooth project delivery by executing management tasks including:

  1. Bid Tracking
  2. Project Tracking/ Project Manager Assistance
  3. Contractor payment application review and tracking Provide initial review of AIA

3. Billing Management:

  1. Assist Principal in generating and distributing project Proposals
  2. Track open invoices and provide periodic follow-up with clients
  3. Keep client information up-to date
  4. Assist studio’s biller as needed to generate and distribute invoices at Principal’s direction

Minimum Qualifications:

  • Bachelor’s Degree required
  • Graduate degree in construction management or related field a plus
  • 5-7 years experience working in architecture, engineering or construction office
  • Experience with AIA contracts, continuation sheets, and payment applications
  • Familiarity with bid leveling process
  • Fluent in Excel spreadsheet management
  • Familiarity with New York Department of Building Online Filing Systems (DOBNow, BISweb)
