Assistant Project Manager – Job Description 

Core Responsibilities

  • Manage the submittal process and track critical path subcontractor submittals, and architect (and design team) approvals.
  • Schedule and attend project weekly meetings, keep detailed meeting minutes, and follow up with action items.
  • Support the competitive bid process for new projects by distributing drawings, obtaining pricing, and organizing vendor quotes.
  • Support the procurement process for the furniture, fixtures, and finishes of multiple projects. Create detailed tracking sheets for all items.

Other responsibilities:

  • Assist the project manager with budget and schedule tracking for multiple design and construction projects.
  • Compare and level incoming subcontractor proposals.
  • Obtain and track subcontractor proposals for project scope changes
  • Support contract administration, write scopes of work, send out subcontracts.
  • File organization, data entry, and materials library organization.
  • Help with subcontractor insurance compliance, obtain certificates of insurance and lien waivers.
  • Track, organize and schedule construction final punch list items.
  • Update calendars for both company principals.
  • Permit application drop off and pick up.

Qualifications:

  • Must be fluent in G-Suite and MS office, and Adobe Acrobat Pro -or-  Bluebeam . Proficiency in Adobe Creative suite would be nice, but is not a requirement.
  • Bachelor’s Degree with 2 years experience.
